Exporting Documents from WebDocs iSeries Edition to CD/DVD

WebDocs has the capability for users to be able to export selected documents stored in the system to an IFS folder or PC folder (if an NFS share is set up with a Windows Server via Windows Services for Unix) along with the document index fields.

Exporting documents to CD/DVD is a good way to send information offsite or export documents permanently from WebDocs.

Documents can currently be marked and exported based on the WebDocs folder they reside in along with a selected date range.

Once all documents are exported to the selected folder, the directory(s) can be burned to CD or DVD with Roxio CD Creator, Nero or any PC CD/DVD burning software.

Exporting Documents to CD/DVD

1.) Sign on the AS/400 - iSeries command line.

2.) Add RJSIMAGE to your library list: ADDLIBLE RJSIMAGE

3.) Type CALL DOC307C and press Enter to start the interactive document selection process.

4.) Press F7 to prompt the DOCEXPSEL command for selecting all documents within a given folder for a selected data range.

Example: The example listed below marks all documents in the WebDocs TEST folder for being exported to CD/DVD.

Note: You can run F7 multiple times or run the DOCEXPSEL command multiple times from a CL program if you want to mark several folders for export or if you have several different date ranges you want to select in the same folder. DOCEXPSEL can also be submitted to batch outside of DOC307C by using the SBMJOB command.


5.) You can position to the selected folder in DOC307C and review all the documents that were selected if needed.

6.) Press F8 to prompt the DOCEXP command for exporting copies of all documents that were selected via DOCEXPSEL.

Example: The example listed below will create the DOCEXP folder named /RJSIMAGEEXPORT and will export all documents into the folder in 650MB CD format. 4.5GB DVD format or unlimited format can be selected if you will be sending the documents to a NAS or other PC server folder.

Note: If a CD or DVD size is exceeded during export, multiple subfolders will be automatically created under /RJSIMAGEEXPORT with a numeric volume sequence number.

Note: If a CD or DVD size is exceeded during export, multiple subfolders will be automatically created under /RJSIMAGEEXPORT with a numeric volume sequence number.

DOCEXP can also be submitted to batch outside of DOC307C by using the SBMJOB command.

7.) After the DOCEXP document export process has completed, you can review all of your exported document IFS folders by mapping to the /RJSIMAGEEXPORT IFS folder from Windows or by accessing /RJSIMAGEEXPORT from iSeries Operations Navigator or by using the WRKLNK '/RJSIMAGEEXPORT' command.

Example of accessing the RJSIMAGEEXPORT IFS folder from Windows via Start/Run:

\\125.1.1.53\root\RJSIMAGEEXPORT

You will notice the document subfolders in /RJSIMAGEEXPORT are named: VOL0000000001, VOL0000000002, etc... Each time DOCEXP is run, a new set of volume numbers will be auto-created.

8.) The document subfolders under /RJSIMAGEEXPORT can now be burned to CD or DVD with your favorite CD/DVD burning software.

RJS recommends using the industry standard Nero software:

WARNING: Make sure when you are burning your CD's or DVD's, you ALWAYS run the verify option in Nero to have nero do a read verification after the CD or DVD burn is completed. You should also always create at least 2 copies or each CD/DVD disk and make sure you test your CD/DVD by placing the CD/DVD in a PC and bringing up the index.htm page and viewing documents.

9.) After you're completely sure all of your CD/DVD disks have been burned and are readable, you can delete the volume subfolders from /RJSIMAGEEXPORT.

Example: You can delete the VOL0000000001 subfolder, the VOL0000000002 subfolder, etc.

The easiest way to delete the volume subfolders is via iSeries Operations Navigator or by browsing to the folders with Windows Explorer and deleting them if you have a Windows share set up on the iSeries.

Note: Once these export subfolders are deleted you cannot get the documents back except for copying them off the CD/DVD disks which you created and tested in the previous step.

10.) Now you can go back into DOC307C and do one of the following:

Delete all Documents from WebDocs that were selected and marked for export This option is used if you want to delete the WebDocs documents after they have been exported.

Press F9 to prompt the DOCEXPDEL command. If you run this command, all currently selected documents that are marked for export will be moved to the DELETED folder in WebDocs. The DELETED folder is similar to the Windows recycle bin.

Eventually you will need to run the DOCCLRDEL command outside of DOC307C to clear the DELETED folder and associated IFS documents from WebDocs completely. There is no need to run this right away unless disk space on the iSeries is an issue.

Note: Once DOCCLRDLT has been run you cannot get any of your deleted documents back without re-importing the documents or writing a special import program because the documents were permanently deleted

Unmark all Documents from WebDocs that were selected and marked for export This option is used if you were creating a temporary export CD/DVD to send offsite to someone for usage and don't want to delete any of the marked documents from WebDocs.

Press F10 to prompt the DOCEXPRST command. If you run this command, all currently selected documents will be unselected and not moved or deleted from the WebDocs system.


Using the Exported CD or DVD disk to view Documents The CD/DVD disks are created with the following files on them. A disk can be placed in any PC CD/DVD drive and the index.htm file can be opened to search and access documents.

Files on CD/DVD:

index.html - This file is an HTML index file that holds all search keys and file info so that if the HTML page is opened in a Web Browser and searched, the user can simply click on the document title to view a document with its associated viewer.

All documents files that are contained in index.htm are also included on the disk so the CD/DVD is a standalone client that requires no special software except whatever viewer the document requires. Ex: DOC - MS Word, XLS - MS Excel, TIF - Windows Image Viewer, PDF - Adobe Acrobat, etc.
